In plain English: A boutique hotel is judged at the front door, at check-in, in the guest room the first time the guest touches the thermostat, in the bar at 9 PM, and at the meeting that starts at 8 AM the next morning. The system has to handle all of that without a department of in-house engineers behind it. The operator wants one phone number to call when something is off and a system that has not changed under their feet since opening night.
What this looks like in the field: Time Out Market Manhattan.
The clearest example of how we approach a small-format hospitality property is not actually a hotel. It is the Time Out Market Manhattan reprogram. Team Electric called us with less than a week before Time Out opened on 14th St. The Loxone lighting system had been programmed for a different operator and a different floor plan. We re-zoned the entire facility into 15 lighting zones, built scenes for every operating mode, set up keypads plus phone and iPad control, and password-protected the scene editor so the management team could edit scenes themselves. The decisions you have to make.
Every boutique hotel project comes down to a handful of real decisions made early. Owner, GM, director of engineering, F&B lead, and integrator all need to be in the same room before drawings get stamped. Wait, and the easy answer becomes the expensive one.
- Guest room control depth. Boutique guests notice the room the first time they touch a control. Decide early whether each room gets a simple keypad and thermostat set, a full bedside touchpanel, or something in between. Deeper control gives a more memorable arrival moment but raises per-room cost and adds support burden when housekeeping accidentally locks a setting.
- Lobby and amenity audio. The lobby sets the brand. The system has to sound even and intentional from the front door through check-in, the lounge, the elevator bank, and any cafe or wine bar. Discreet aesthetics fight with output, and the operator has to decide whether the room runs background music, foreground music, or a programmable mix that changes by time of day.
- Lighting scene design. Architectural lighting in a boutique hotel runs from arrival, through dining service, into evening bar hours, and into overnight cleaning. Scenes have to flatter the design, hit the right color temperature, and be operable by a night manager who is not a programmer. More scene depth means a richer guest experience and a longer programming and training cycle.
- Meeting and event AV. Even small hotels host board dinners, corporate offsites, weddings, and rehearsal events. The meeting rooms and ballrooms have to support real video conferencing, mic systems, and presentation workflows without a production company on site. Capable AV unlocks revenue, but it requires more programming, more training, and a serviceable rack.
- Property-wide network. Guest Wi-Fi, staff Wi-Fi, IPTV, AV-over-IP, PMS, POS, BMS, surveillance, and any door access all ride on the same backbone. Boutique properties usually cannot afford a full IT department, so the network has to be designed for stability and remote management from day one. An undersized or unmanaged network is the single most common cause of recurring guest complaints in this segment.
- In-room TV and casting. Modern guests expect to cast from their phone within seconds of unlocking the door. The decision is between dedicated IPTV with a casting layer, off-the-shelf streaming with locked-down credentials, or a hybrid. Each path has different bandwidth, licensing, and support implications.
- Front desk and back-of-house tools. Paging, intercom, staff radios, and overhead announcements all have to coexist without competing for attention. The operator needs a clear plan for who pages whom and how the system handles overnight versus daytime traffic.
What this actually costs.
Cost depends on the room count, the scope of work, the cable path, and the level of finish. Here is what we see on real NJ, NY, and CT boutique hotel projects, scoped from actual jobs. Every number assumes a designed system, professional install, calibration, training, and documentation. Not a bill of materials pulled from a catalog.
Public spaces refresh (20-40 keys)
Entry tier: $120,000-$300,000 all-in. Lobby and amenity audio in 3-5 zones, basic scene-based lighting control in public areas, lobby and meeting-room displays, a managed network refresh, conference-room AV for 1-2 spaces, programming, commissioning, and staff training. Common for a small property doing a public-space and AV refresh without touching guest rooms.
Full property with guest room control (40-80 keys)
Mid tier: $400,000-$1.2M all-in. Property-wide audio and lighting control, in-room keypads and thermostat integration, IPTV with casting, meeting and event AV in 2-4 spaces, enterprise Wi-Fi with guest and staff segmentation, surveillance and access integration, rack consolidation, programming, commissioning, and a full documentation package. Typical for a small luxury or design-forward boutique repositioning.
Flagship boutique with F&B and event venue (80+ keys)
Premium tier: $1.2M-$4M+ all-in. Whole-property AV and lighting platform including signature restaurant, rooftop or terrace bar, ballroom with full event-grade AV and rigging, full-featured guest room control with bedside touchpanels, IPTV with casting and PMS integration, redundant network with carrier diversity, centralized monitoring, brand-standard documentation, and a multi-year service plan. Typical for a flagship boutique property with a public-facing F&B program.
The most common mistakes.
These show up over and over in projects we inherit from other firms or from properties that tried to coordinate the work themselves. Catch them at the design stage and the project costs less, finishes faster, and serves the brand the way ownership intended.
- Specifying residential or consumer gear in a commercial hotel environment: it may look acceptable at first, but it usually fails sooner under 24/7 operating hours, higher ambient use, cleaning chemicals, and the wear of constant guest turnover. Commercial products cost more upfront and are built for the service life this segment demands.
- Treating each guest room as a one-off: in a boutique with 50 rooms, each variation in keypad layout, scene depth, or thermostat behavior becomes 50 documentation versions and 50 housekeeping training points. Standardize the room types early.
- Underbudgeting cable pathways, IDF closets, and rack infrastructure: the visible gear is a small fraction of the job. Hotels that skip this line item later pay for ugly surface runs, limited expansion capacity, and harder maintenance during occupancy.
- Treating the network as an afterthought: guest Wi-Fi, IPTV, AV-over-IP, PMS, POS, BMS, surveillance, and access control all ride one backbone. If switches, power, VLANs, and QoS are not designed correctly, complaints reach the front desk through the highest-paying guests first.
- Skipping PMS and lock-system integration when it matters: a guest room that does not match the reservation, a TV that shows the last guest's casting session, or a thermostat that stays in vacant-room mode after check-in are all preventable failures with proper integration.
- Underspecifying meeting and event AV because the property is small: even a 30-key boutique can host a $40,000 wedding weekend or a board dinner that brings in a year of repeat business. The AV in those spaces is the asset that closes those bookings.
- Skipping training for front desk, housekeeping, and F&B staff: if only the integrator knows how the system works, the property will underuse it or create workarounds that erode the guest experience over time.
The brands and platforms that actually serve hospitality.
Most of what gets sold as "commercial" at the box-store level does not survive a real hospitality environment. These are the platforms we specify and stand behind because they hold up over ten and fifteen year service lives in venues that run seven days a week.
- Crestron. A control and AV-over-IP ecosystem commonly used for room control, distributed video, shading, and lighting integration in higher-end hospitality properties. It fits best where the club wants one operating interface for staff and a scalable multi-space architecture.
- QSC. Strong in networked audio, DSP, paging, and larger zone control, with a broad ecosystem for clubhouses, banquet spaces, and outdoor audio. It is often chosen where operators want centralized management and flexible routing.
- Biamp. Known for DSP, conferencing, paging, and cloud-based device management, with platforms built for managed commercial environments. It fits clubs that want strong speech intelligibility, remote monitoring, and a predictable support workflow.
- Shure. A standard choice for wireless microphones, handhelds, bodypacks, and microphone management for banquets, events, awards dinners, and presentations. It matters most where RF reliability and quick event setup are important.
- BSS. A legacy and still-relevant DSP/control platform used in distributed audio, paging, and zone processing, especially in systems with Harman/JBL ecosystems. It is often used where integrators need flexible signal routing and control in commercial venues.
- Bose Professional. Common for background music, foreground sound, and compact zone systems where clean aesthetics and consistent coverage matter. It is a practical fit for lounges, dining rooms, and smaller club spaces.
- JBL Professional. Used for installed speakers, subwoofers, and amplifiers in larger or louder hospitality spaces, including ballrooms, bars, simulator rooms, and performance-capable event areas. It fits where output, coverage, and reliability matter.
- Lutron Athena/Vive. Lighting control platforms that fit hospitality scenes, dimming, scheduling, and daylight-responsive control in amenity spaces and exterior areas. Athena is typically used for more advanced architectural lighting and Vive for commercial wireless lighting control needs.
How this integrates with the rest of the operation.
A boutique hotel is one operation, not ten systems. Whatever scope you are reading about here touches the PMS, the lock system, the BMS, the POS, the lighting, the surveillance layer, and the network. The integrator's job is to make those handoffs invisible to staff and guests.
PMS and lock system. Check-in events can trigger room readiness scenes, IPTV reset, thermostat changes from vacant-room setback to guest defaults, and casting credential cycling. Done well, the guest walks into a room that knows they have arrived. Done poorly, the guest walks into the last person's casting session.
BMS. Lighting, HVAC, shades, and occupancy conditions coordinate with the building management system for energy savings and comfort. In small luxury properties this matters operationally and on the utility bill. Life safety: Emergency paging, voice evacuation, fire alarm interfaces, and code-compliant notification paths must be considered early and tested with the AHJ.
Lifecycle, maintenance, and what to expect over ten years.
Year 1: Expect fine-tuning after opening, including DSP EQ adjustments, level balancing, control-page edits, Wi-Fi/network tweaks, and fixing any field issues from construction closeout. Training refreshes matter here because staff turnover is highest right after go-live. Year 3: Review firmware, warranties, and support coverage, and replace any weak points such as inexpensive wireless mics, failing HDMI extenders, noisy fans, or underpowered network switches. Hospitality use is hard on gear, so humidity, grease, and daily service wear start showing up by this point.
NJ, NY, and CT-specific considerations.
New York City and Hudson Valley: Boutique properties in Manhattan and the Hudson Valley face the strictest construction logistics in NJ, NY, and CT. Sidewalk shed timing, freight elevator scheduling, after-hours work permits, and DOB sign-offs all affect when AV trades can actually be on site. Plan rough-in and trim around those windows or the schedule will slip.
New Jersey: Properties serving alcohol have to respect municipal and state ABC rules, and any renovation that changes service areas or occupancy patterns can affect licensing and operating hours. Smaller boutique hotels often need to coordinate construction with active operations because they cannot close completely; phasing the AV work to maintain a portion of guest-facing services is part of the design conversation.
Connecticut: Fairfield County boutique properties frequently serve a dual market of New York commuters and weekend leisure guests. The AV and network has to handle both: high-bandwidth corporate use during the week and high-density leisure use on the weekends. The system design should not assume one usage pattern.
