The system has to be reconfigurable in twenty minutes, idiot-proof for the banquet captain, and full-featured enough that the hired production company does not need to truck in their own.

The decisions you have to make.

Every event venues project comes down to a handful of real decisions made early. Owner, GM, F&B director, and integrator all need to be in the same room before drawings get stamped. Wait, and the easy answer becomes the expensive one.

  • Guest experience and room flexibility. The system has to make the space feel premium for weddings, fundraisers, member events, and corporate functions without visible clutter or uneven sound. Operators trade off visual discretion, coverage, and scene flexibility against cost and maintenance complexity.
  • Ease of use for banquet staff. Event teams need one-touch control for sound, displays, lighting scenes, and shades because the room often changes hands quickly between meals, receptions, and presentations. A system that requires AV specialists for basic changes increases labor and slows service.
  • Acoustic performance and speech intelligibility. Banquet halls often have hard finishes, high ceilings, and variable occupancy, so a weak design sounds harsh, echoey, or muddy. Operators need intelligibility for speeches and announcements, while still keeping background music pleasant and not overpowering conversation.
  • System class and scalability. The owner must decide whether the room needs a simple standalone system, a networked DSP/audio-over-IP system, or a more enterprise-style platform that can expand to other spaces. Underbuying can force a replacement during the next renovation cycle; overbuying can waste capital on features staff will not use.
  • Network and IT alignment. Modern AV depends on stable switching, VLANs, and managed networking, especially when streaming, conferencing, IPTV, digital signage, and control traffic share the same infrastructure. If IT is left out early, the project can suffer from latency, access issues, security concerns, and difficult support handoffs.
  • Lighting control and room transformation. Lighting scenes often matter as much as audio because banquet rooms must shift quickly from dinner ambiance to speech mode to dance mode. The trade-off is between sophisticated scene control and the operator's ability to run it without calling a programmer for every change.
  • Service hours and downtime risk. Hospitality venues cannot afford long outages during peak meal periods, weddings, or event turnover windows. Operators should weigh install phasing, commissioning during off-hours, spare parts strategy, and remote support against the pressure to open quickly.

Mid tier: $90,000-$250,000 all-in: Multi-zone hospitality AV package with better loudspeaker coverage, tuned DSP, multiple microphone channels, control system, projector or LED display, lighting scenes, networked audio components, programming, commissioning, and user training. Fits larger ballrooms, divisible rooms, or properties that host both member events and outside rentals.

The most common mistakes.

These show up over and over in projects we inherit from other firms or from venues that tried to coordinate the work themselves. Catch them at the design stage and the project costs less, finishes faster, and serves members or guests the way ownership intended.

  • Specifying the wrong system class: A consumer or small-office system may look cheaper up front, but it will usually fail under banquet schedules, heavy use, and service expectations. Hospitality spaces need commercial-grade components, proper DSP, and supportable control logic.
  • Ignoring acoustics: Hard surfaces, glass, stone, and tall ceilings can destroy speech intelligibility if the room is not modeled and tuned. Operators often blame the microphones when the real issue is coverage, reflections, and poor speaker placement.
  • Underbudgeting cable, conduit, and pathways: Hidden infrastructure often costs more than expected, especially in retrofit projects with finished ceilings and walls. Cutting these line items can make the system harder to service and limit future expansion.
  • Treating the network as an afterthought: AV-over-IP, streaming, IP control, and cloud-managed devices all depend on a properly designed network. If switching, VLANs, PoE, addressing, and cybersecurity are not planned early, performance and support become fragile.
  • Choosing gear that is not built for commercial abuse: Banquet environments have humidity, grease, foot traffic, carts, bumping, and frequent setup changes. Consumer hardware and lightweight mounts tend to fail faster and create more maintenance calls.
  • Skipping training for staff: Even a well-designed system will be misused if banquet captains, F&B managers, or event staff are not trained on scenes, mute logic, and source selection. This usually leads to emergency calls, disabled presets, and inconsistent guest experience.

The brands and platforms that actually serve hospitality.

Most of what gets sold as "commercial" at the box-store level does not survive a real hospitality environment. These are the platforms we specify and stand behind because they hold up over ten and fifteen year service lives in venues that run seven days a week.

  • Crestron. Strong fit for integrated control, AV-over-IP, lighting, shades, and room scenes in hospitality meeting spaces and ballrooms. It is useful when the operator wants a single interface for staff and the project includes multiple subsystems that must behave consistently.
  • QSC. Common choice for networked audio, DSP, and scalable venue audio where speech clarity, zone control, and ease of commissioning matter. It fits banquet rooms, bars, lounges, and multi-room hospitality properties that need centralized management.
  • Biamp. Well suited for DSP, conferencing audio, paging, and distributed sound in spaces where intelligibility is the priority. It is often used when the venue needs reliable tuning and simple operation across multiple rooms or zones.
  • Shure. Relevant for wireless microphones in weddings, speeches, panels, and corporate events, especially where RF conditions are crowded. Wide tuning and spectrum flexibility matter in metro markets and multi-venue hospitality portfolios.
  • Bose Professional. Often used for hospitality audio where even coverage, low visual impact, and staff-friendly operation are important. It fits lounges, banquet rooms, and event spaces that need clean aesthetics and controlled zoning.
  • JBL Professional. Good fit for installed sound in larger event spaces, ballrooms, and high-output systems where scalable coverage and software-assisted deployment matter. It is especially relevant when the venue also hosts DJs, live entertainment, or large corporate events.
  • Crestron, Lutron Athena/Vive, and BSS: Crestron handles room control, Lutron Athena/Vive handles commercial lighting scenes and daylight control, and BSS fits within audio DSP and control ecosystems. Together they support the room as a coordinated environment rather than separate subsystems.
  • Ubiquiti UISP. Relevant mainly as part of the networking layer when the project needs managed routing, switching, wireless, and remote visibility at a lower price point than some enterprise stacks. It can fit some hospitality projects, but the design should be vetted carefully for commercial support expectations and network architecture needs.
