The Zoom Rooms versus Microsoft Teams Rooms debate is one of the most common questions we get from IT directors and facilities leads scoping a conference room buildout. The answer is almost always simpler than people expect, and it has nothing to do with which hardware looks better in a brochure.
Both platforms do the same job: they replace the laptop-plugged-into-the-TV model with a purpose-built room computer that runs video conferencing natively, joins meetings with a single touch, and provides a consistent experience across every room in a facility. The difference is in ecosystem fit, licensing structure, management tooling, and the certification matrix for supported hardware. We have deployed both in real commercial environments, and this guide covers what actually matters when you are specifying these systems.

Zoom Rooms licensing runs approximately $499 per room per year. That number is straightforward. There are no tiered features to navigate at the room level. the license includes all Zoom Rooms functionality, including Zoom Rooms Controller support, digital signage, and scheduling display integration.
Microsoft Teams Rooms licensing is more complex. Teams Rooms Basic is free for up to 25 rooms, but it excludes advanced call quality analytics, intelligent speaker recognition, and front-row layout support. Teams Rooms Pro costs approximately $40 per room per month, which is $480 per year. comparable to Zoom when purchased standalone. However, organizations on Microsoft 365 E3 or E5 agreements often have access to Teams Rooms Pro at a reduced incremental cost. If your organization is already paying for a large Microsoft 365 contract, the effective per-room cost can drop significantly.
Neither platform includes hardware. The license is software only.
Certified Hardware: Logitech, Poly, Neat, Crestron Flex
Both platforms maintain certified hardware programs, and the overlap between the two lists is real but imperfect. Logitech Rally Bar, Rally Bar Mini, and the Logitech Tap controller are certified for both Zoom Rooms and Teams Rooms, with a mode-switch process to change platforms. Poly Studio systems are similarly dual-certified on most models. Neat devices are Zoom-native with limited Teams support. Crestron Flex is certified for both platforms through separate UC engine configurations.
The certification matters for two reasons. First, certified hardware goes through voice and video optimization testing specific to each platform. audio processing, echo cancellation, and camera framing behave differently than generic USB peripherals. Second, device health monitoring in the management console only works with certified hardware. Uncertified USB cameras and microphones may function for a call, but they will not appear in the admin portal and will not receive firmware updates through the platform.
For larger boardrooms requiring a DSP, Q-SYS, or Biamp audio layer, both platforms support USB and Dante audio integration through their respective certified processor configurations. Calendar Integration and Single Sign-On
Teams Rooms integrates with Exchange and Microsoft 365 calendaring natively. Room resource accounts are created in Azure Active Directory, the room accepts meeting invites automatically, and the scheduling panel outside the door shows live occupancy without any third-party connector. For organizations running Microsoft 365, this is zero-friction setup.
Zoom Rooms integrates with Google Workspace calendaring and Microsoft 365 Outlook through the Zoom Rooms Scheduling Display. In practice, most organizations using Zoom Meetings are also on Google Workspace, and that combination works cleanly. Zoom Rooms in a Microsoft 365 environment requires a service account and connector configuration. it works, but it is not native in the same way.
Single sign-on is supported on both platforms through SAML 2.0 and OAuth configurations with major identity providers. In practice, organizations with mature Azure AD deployments find Teams Rooms SSO simpler to manage. Zoom handles mixed-identity environments somewhat more gracefully when SSO is partially deployed.
Management Overhead
IT teams managing a large deployment care about three things: can they see device health, can they push firmware updates remotely, and can they identify call quality problems without physically visiting a room.
Microsoft Teams Admin Center provides call quality analytics per room, per call, with audio and video quality scoring. Device management for Teams Rooms devices is integrated into the same portal used for user management. Organizations running Microsoft Intune can enroll Teams Rooms devices into MDM policy management alongside their laptop fleet.
Zoom Device Management offers comparable visibility into Zoom Rooms health, firmware version, and meeting performance. The Zoom portal is generally considered cleaner to navigate for AV-focused teams who are not deeply embedded in the Microsoft admin ecosystem. For organizations running Zoom Phones alongside Zoom Meetings, the unified Zoom admin portal provides a single pane for both.
Hybrid meeting reliability. the ability for remote participants to join cleanly and for in-room participants to hear them clearly. is ultimately a function of the hardware and room design, not the software platform. We discuss this at length in our post on conference room AV that actually works.
AI Features: Where Each Platform Actually Stands
Both platforms ship AI features. The honest caveat is that AI feature parity changes frequently, and marketing claims outpace what is actually on by default in a deployed room system. Here is what is real as of mid-2026.
Zoom Rooms includes Zoom AI Companion natively at no additional license cost for paid Zoom accounts. In a room context, that means post-meeting summaries, action item extraction, and live meeting transcription are available on the room display and in the Zoom web portal without additional configuration. Zoom’s noise suppression runs on the room compute device and filters background HVAC noise, chair movement, and keyboard sounds before audio reaches remote participants. The suppression is on by default and generally performs well without tuning.
Zoom’s AI auto-framing behavior. tracking active speakers and adjusting the camera frame. depends on the certified camera in the room. Logitech Rally systems use RightSight 2 for this function. Poly cameras use their own Director AI. The quality of AI framing is therefore a hardware decision, not a Zoom platform decision.
Microsoft Teams Rooms with Copilot integration delivers real-time transcription, AI-generated meeting recaps, and action item assignment through Microsoft 365 Copilot. This requires a Copilot license (currently sold separately from the Teams Rooms Pro license) and is not included in the base Teams Rooms subscription. For organizations already paying for Copilot across their Microsoft 365 tenant, the room integration is a natural extension. For those who are not, it adds meaningful per-user cost.
Teams Rooms also supports Intelligent Speaker, which uses voice recognition to attribute transcription segments to specific meeting participants. This requires a Teams Rooms Pro license and a certified microphone system capable of voice enrollment. Not all certified hardware supports it. this is a check to run during hardware specification, not an assumption.
AI noise suppression on the Teams side runs through the Teams client on the room compute device, with some hardware offloading on certified Poly and Jabra devices. The suppression quality is comparable to Zoom in practice. Neither platform has a meaningful edge in suppression performance on matched hardware. the room acoustic treatment does more work than either AI layer.
Live translation is available in both platforms at the call level. Teams offers real-time captioning with automatic language detection. Zoom provides similar real-time transcription with translation available in the Zoom AI Companion tier. In boardrooms serving multilingual organizations, this is a genuine differentiator worth discussing with your IT team before platform selection.
The Decision Matrix
Zoom Rooms is the right choice when: the organization runs Zoom Meetings as its primary platform, the IT team is more familiar with Zoom administration, the deployment includes Zoom Phone, or the environment has mixed identity providers that make Teams SSO more complex.
Teams Rooms is the right choice when: the organization runs Microsoft 365 with Exchange Online, the IT team already manages Azure Active Directory and Intune, the deployment needs native Teams calendaring without connector configuration, or the organization’s security posture requires everything in the Microsoft tenant.
Both platforms are mature and reliable when deployed on appropriate certified hardware in a well-designed room. The platform decision should take ten minutes once you know which meeting service your organization actually uses. The room design. acoustics, display sizing, camera positioning, cable infrastructure, and control integration. is where the real work lives.
